Ouachita Little Theatre Board Minutes
Guests: None present
Zeke called the meeting to order at 5:35 p.m
Secretary’s Report–
- It was confirmed that Alex made the motion to accept the minutes of the November 15th board meeting, and Drew seconded the motion. The motion carried, and the minutes from November 15th have been updated to reflect that action.
- A motion was made by Alex to accept the minutes of the last meeting as corrected. Drew seconded, and the motion passed.

Edward Jones: $25,521.21 - Update: Mikayla has started filing all of Bill’s old paperwork and would like to take the time to remind everyone that when asking for reimbursement, if you do not fill out a reimbursement form and attach ALL your receipts, you will not get reimbursed. There are forms in the office. Just make sure to staple the receipts to the back of your form and return it to my folder. Then she will get your check to you directly or will post it on the bulletin board in the office.
- Contract work – Mikayla has asked both Alex and Gini to now turn in time sheets. This is mostly for documentation so that she can keep track of their pay schedules.
Publicity Report-Zeke
- Mikayla is going to hand over the newsletter to Zeke and Lexie so she can focus on her other duties
- Paid our bill to the paper.
- Met with the chambers of commerce, they will promote anything we send them. Zeke is going to them. If we are interested in renting our space, they will work on an ad to help rent our space. Working on rules and handouts for it.
Office Report-Alex (through email)
- Office is great; vibes are peaceful A+
- Need to get the tickets for the February show on the website, but Alex needs a logo, a definite title, and to know the dates for sure
- We received a donation the other day in Bill’s memory for $75.
- Our printer is running very slowly and showing signs of wear and tear. It seems unlikely that it will be able to handle printing programs for another big show, and none of us have the free time to sit with it the whole time! We need a new printer that is very fast and reliable, especially for programs.
Membership Report- Alex (through email)
- We had several Angel renewals and a couple of new season tickets sold in December and January
- Thank you letters have been sent to all.
- Doug has volunteered to go around to businesses and talk to them about renewals and new commercial memberships. He plans on going door to door. Alex sent him info on membership levels.
Artistic Director and Play Selection Report- Judy
- Play Selection:
– We need a fall play and a Christmas play. Judy said that they may have found an option for Fall, still looking for Christmas - Artistic director:
– Theatre Sale held on the stage Friday, February 6, from 8 am -2 pm; Saturday, February 7, from 8-2. Items included will be costumes, props, some set wood, and a bake sale
– We will set it up on Tuesday, Feb 3, from 6-8 pm ALL are welcome to come help. Judy would like a couple of tables for the baked goods, 4-step ladders (7ft or higher) to hang costumes on, and possibly a bookcase to display items or shoes on.
– Judy recommends that all board members bring items for the bake sale-cookies, cake pops, and cobblers sell well. Friday workers are: Amanda and Sharon, and Saturday workers are: Makayla, Lexie, and LaDonna
– Showcase of UARM and MHS theatre programs will be Saturday, February 28, 2:30 & 7:30, and Sunday, March 1, at 2:30 pm
– March 13 Realtors fundraiser for the Call and CASA at 7 pm (Lexie working)
-March 17 @ 7 pm and March 20 @ 7 pm Ouachita Strings Concerts ( Lexie, Makayla, and LaDonna working)
-Got the contract for Disney Descendants and Camelot. $2660 for Descendants and Camelot is $4060
-Judy would like to make cards for volunteers to get a free drink or snack for a production to show appreciation for their hard work.
-Made a volunteer worksheet to send out with memberships.
– A motion was made by Alex to pay for the rights for Camelot out of our dividend funds and to pay Descendants out of the operation fund. Kallie seconded the motion, and the motion was passed.

House Report-Robbie
- Turned off the toilet in the men’s room for about a month to see if it is costing us a bunch due to leaking, will find out when the bill comes out
- Cleared some of the stuff out of the shed. Some other things in the shed that do not need to be in, and He also stated we should put the platforms in there as well.
IT Report- Zeke and Lexie
- Meeting this week to discuss cleaning up the website and adding things as well.
Box Office-Amanda
- Nothing to report
Social Committee-Linda
- They met today and started to talk about fundraising, and came up with the idea of an April brunch.
New Business
- Planning on cleaning out the storage unit next weekend.
Old Business
- Zeke started with the Anti-Discrimination agreement. The statement was read aloud, and Zeke asked us to sign, stating we agreed with the statement.
