2024-01-24 Board Meeting Minutes

Date :  January 24, 2024

Board members present:

Meeting called to order at 5:32 PM by President Alex Night

  1. Secretary’s Report: The minutes from the previous meeting were sent out by email with no corrections.  Ann   moved we accept as submitted.     Robert seconded the motion and minutes were approved.
  2. Treasurer’s Report:   
    Arvest  (general fund)    $1134.28     
    Union Bank  (Building) $ 12,874.87
    First Financial  (concessions)  $3331.91
    -Bob Carver foundation is keeping us in mind.  No Commitment at this point for next year.  Brad will check on plaque honoring Roy Vail; it’s on a building that doesn’t belong to us.  Brad will follow up.
  3. Special Report- Missy Fields from the Yarn Store wants to make “commercials” that promote places in town, including OLT.  She is looking for a couple of folks to help her out with acting.  She would like a couple of young people who are over 18 to play the young people in her promotion video.  These videos will appear on social media.  No money or profit will be made.  Looking for actors, and we said we can encourage some of our folks.  Missy described it as “A Hallmark movie in 3 minutes” set in Mena.  Anyone interested contact Misty at the store or text her through her publicized phone number.
  4. Office Report—Alex
    – Sold several family memberships in last two months. 
    -Getting back to posting past productions online
    -One of our regular attenders who brought friend to Roy Orbison who walked out, came back to give us a second chance.  The person liked our play.
  5. Artistic Director Report—Judy
    -We are a month away from Arsenic and & Old Lace, we will need to come back in and pick up posters to publicize.  The sign is great.  Judy will be out of town until September, but she is totally willing to do her work online as much as possible.  She will not be here physically until September. 
  6. House—Brad
    -One of our sconces fell down and broke. 
    – Thanks to Brad for taking care of our building during the really cold weather and ice storm.
    -Reported on Romeo and Juliet, auditions going pretty wellHe’s getting a lot of good help from Alex and others.  He wants to meet with them soon.  Amanda has allowed them to do auditions here. 
  7. House—Brad

  8.  IT Report—Jered
    -Point of sale used during Scrooge play.  Worked pretty well for concessions.  He needs to drill a hole in the countertop to accommodate the needs.  Some discussion followed on the details of the countertop and candy display.
    -He will get flyers done for Arsenic and Old Lace. 
  9. Box office—Amanda (Judy reported in her absence)
    -Usual people who help her are in her show, so she will need volunteers for box office.
    -Judy said we should have someone at the front door to take pre-bought tickets or verify online sales., If they need to buy tickets she suggested we could have a box office sign painted by Jim Brace or someone on the other side of the concession stand for concession purchases.  Brad will ask Jim to make an 18 by 24 inch sign with nice lettering to get people over to that area.
    -Jered said we need a second tablet to help with admission. 
    -OLT to put request for an old I-pad that works.  If someone wants to donate it please message us. 
  10. Publicity—Julie –
    -Julie has been working on updating the OLT information page on the website.  It is badly outdated and incorrect on several things.  She will send out a copy of the changes (it is done, but waiting on some photos to include) and we will replace the outdated one in a matter of time.
    -Julie and Rudi have discussed not producing a newsletter anymore.  We agreed that since our social media pages are more instantaneous, we can keep people informed quickly with more reminders, and the newsletter, although fun to read for many, is “not the herald of news it used to be.” Since Rudi is the heart and soul behind the newsletter and he would rather not do it anymore, I recommend that we no longer publish one.
    -We are up to date on articles for Arsenic and Old Lace, although I need some rehearsal photos soon for a piece in the papers.  I will publish R & J cast when Brad has finalized it. I dropped the “follow-up” a bit on reminding the papers and radio to push the auditions for R & J, but they got right on it Friday before the second rehearsal on Saturday the 20th
    -Julie is planning to publish an article on the Lyric Theatre’s 100th birthday. Do we want to have a special “birthday” party for the Lyric?  Maybe do a one-time only movie night and serve special refreshments and have decorations? The actual birthday was October, 2023.   “Singin’ in the Rain” was suggested since it is about the change of silent movies to sound movies which would have taken place about the time the Lyric was in its early days.
    -Imvite chamber of commerce and newspapers.  Perhaps T-shirts and sweatshirts could be made available with OLT logo.  Judy, Ann, and Bill offered to help raise money for building restoration through an event such as this.  Brad will talk to Val about t shirts.  September a good possibility. 
  11. Readers Theatre – Ann 
    -Ann said they will have a meeting this weekend.

  13. New Business –  April Burt has a request through Gini:
    -April would like OLT to host a concert benefitting her step sister Sarah this summer (would not conflict with Little Mermaid.) We have to figure out how to get permission for music.  They will need to talk to Judy about legal technicalities.
    -A lady who wants to do poetry (she does it regularly) and wanted us to do her advertising.  We do not advertise for other groups. 
    -Brad invited all of us to be in his play as an “extra” nonspeaking role.
    -Judy wanted to thank Ruby K. Manis for helping her organize the costumes.

    -Motion made by Jessica to adjourn, seconded by Judy, motion passed.
