Ouachita Little Theatre Board Minutes

Guests: No guests

Jered called the meeting to order at  4:52  p.m

Secretary’s Report–

• It was confirmed that   Drew made the motion to accept the minutes of the May 5^th board meeting, and Steph seconded the motion.  The motion carried, and the minutes from June 19th have been updated to reflect that action.
• A motion was made by Drew to accept the minutes of the last meeting as corrected, Steph seconded, and the motion passed.

Treasurer’s Report- Bill

No financices were discussed this meeting

• We need to redo the bank people on the accounts since Jessica is no longer on the board, We will fix it once Bill has recovered from surgery.

Publicity Report-Zeke (Through Email )

•  Note from Zeke: Sorry board that I failed to deliver these reports in person at the Board Meeting in July. Here are a few bullets about happenings in my departments in this past month.
• Our new deal with The Mena Star and Pulse Media has officially launched. We are paying them approximately $300 per show for two weeks of ads, a couple of highlight articles, and a radio ad. Not sure of the influence, but the first weekend of Chitty was VERY WELL ATTENDED.
•  Our partnership with Books & Stuf continues. They have comp passes that are being included with sales of Chitty Chitty Bang Bang books.
• Our Facebook has received great interaction over the month of July with posts such as the Chitty Chitty Bang Bang save the date post, the Death of a Salesman auditions announcement, and a behind-the-scenes green room video from Chitty performing especially well.
• Instagram is still gaining followers and Alex is doing well with that responsibility. Mikayla worked especially hard this month on the Newsletter. I’m proud of her work and thankful for the time put into it.
• Jered made posters for Chitty that got distributed well and have had a positive impact on the attendance of the show.
• We need help with intermission concessions during chitty chitty bang bang if anyone knows someone
  
  

Office Report-Alex (through  email)

• Alex has made headway in clearing the space under the table in the office, having scanned in more past show programs and photos and saved them in the Google Drive. We have had several new/renewed Angel memberships, new Family season tickets membership, and renewed Commercial membership (Papa’s.) Most have been in response to letters Alex sent out. Continuing to try to clear office clutter and keep it clean! Please don’t bring any new miscellaneous objects into the office unless you intend to take them with you when you leave or once they’re not in use anymore!

Artistic Director Report- Judy

• We received funds as a refund for Margaritaville reimbursement. The refund was supposed to be $1800 and we got $1500 check which was depsyed by Bill on the 24th

House Report-Zeke (Through Email)

•  We had the building treated for termites. We think it caused a day or so of mouse sightings, but now the mice are gone and things have settled again.
•  We have had a secondary a/c window unit installed in the green room to help with the heat in there during the summer.
• Jered and others have started a discussion via email about renting a storage building to help store some of our set materials so that we can renovate the storage shed at the OLT. Renting the storage building would be a temporary solution and not a permanent situation. Part of the reason for this change is that we have been fortunate enough to store materials at Jered’s building for several months now, but the building is soon to be sold.
• Had a couple of small plumbing issues in the main bathrooms around the show time of Chitty. I am looking into these and planning on making the fixes soon.
• Have the Template to paint the handicap spot. We need volunteers . Drew volunteered to paint

IT Report-Jered

• Wifi access point that we had died, we got a new one, it is not as strong but it is still the same connection info

Box Office-Amanda

• Nothing to report in this meeting

Social Committee-Linda

• Talking about doing another September event, like a block party, fall festival.  A OLT BLOCK PARTY

Reader’s Theater -Ann

• Nothing to report in this meeting
