Ouachita Little Theatre Board Minutes

Jered called the meeting to order at 4:45 p.m
Secretary’s Report–
It was confirmed that Alex made the motion to accept the minutes of the September 18th board meeting, and Ann seconded the motion. The motion carried, and the minutes from September 18th have been updated to reflect that action.
A motion was made by Alex to accept the minutes of the last meeting as corrected, Ann seconded, and the motion passed.
Treasurer’s Report- Mikayla
Arvest (General/Operating): $2884.49 Est.
First Financial (Concessions): $ 2484.89
Union Bank (Building Fund): $ 11409.80
Edward Jones: $ no report at the moment
Bill Memoriam: Jered did purchase a flower arrangement for around $80 and a $150 donation to the theatre in honor of BIl has been made. Jered mentioned we should have a TV screen of some sort in the lobby to showcase not only the people who have passed but also show current events and other things that we usually show on the website.
Death of a Salesman brought in:
– Tickets: $ 2640
– Concessions: $950
The motion to update the signers for the four banks was motioned by Rudi and seconded by Amanda. The motion was carried and the four signers are the officers of the board:
– Jered Biard
– Ezekiel McPherson
– Alexis Payne
– Mikayla Barber
The Edward Jones CD has matured and the discussion of how to use it was brought up. Jered mentioned that we have a lot of bills coming up that need to be paid during our slow season. Linda motioned that we take out $5,000 to pay the necessary bills. Robby seconded the motion and the motion was passed.
Rudi motioned that the four officers going to sign at the banks also talk to Edward Jones and make a decision on the board’s behalf on what to do with the rest of the CD. Ann seconded the motion and the motion was passed.
Publicity Report-Zeke
Zeke said that Death of A Salesman on social media was a hit and got a lot of likes on Instagram and Facebook. Zeke mentioned that the Newspaper did make their article but the radio did not run their ad. Zeke did email the lady in charge, but she did not get back to him. We were not charged for it but it was still a dissapointment.
Zeke is also going to do another promotion with Books and stuff with the upcoming play Frozen Jr.

Board bios are on the website. Will add Doug. Please review your bio and let me know if you have any changes or additions, or would like to change your photo at any time. Will try to keep them up to date.
We’ve had a couple of renewed memberships this month. Thank you and comps will go out tomorrow.
Frozen cast & crew membership money is starting to come in. Keep it coming!
Making progress in backing up the past productions in the Google Drive with eventual plans to start the past productions on the website.
Frozen tickets are on the website. Prices have been changed so that all tickets are $15. Bill would be happy to see this!
Artistic Director Report- Judy
Judy mentioned that Jessica and Robby have agreed to do a couple One Acts in February to make up for the play that Zeke was going to put on, but due to personal reasons can not anymore.Judy mentioned that they both preferred to do one weekend due to it being Highschool and College Kids.
Judy mentioned doing a Saturday at the Lyric again for December, to help raise money and due to the big plays we are having the upcoming year.
Jered mentioned a pre-made set for The Play that Goes Wrong that is in Lousinanna, It is $2500 and props are also included.
House Report-Zeke
The toilet in the Women’s bathroom was fixed. The Men’s sink is still leaking, but it is not affecting the water bill or causing any major issues. The toilet upstairs was turned off due to it running constantly. It will be looked into.
Some issues with the floor have come to light, but they may be expensive. Amanda mentioned some grants that we can get that will help with the funding. The Walmart Foundation and The Walton Family Trust. Jered mentioned to Zeke to get a quote from a contractor so we can start the process with the grants.

Box Office-Amanda
Amanda mentioned we need volunteers for Frozen and has also created a committee.
Social Committee-Linda
Linda mentioned that the bake sale for the Fallen Leaves Festival is happening this weekend, and to please be able to bring baked goods or donations if possible.
They are passing out Halloween candy during the Trick or Treat downtown.
Linda also mentioned that we are going to do a Christmas float for the parade and hand out cookies and hot chocolate like last year.
New Business
Jered mentioned that some board members would like to change the date of the meeting to a different day and time. The board discussed Mondays at 6. A motion was made by Linda to change the date to Monday at 5:30 and Mikayla second the motion, the motion was carried.
Jered plans to meet with all the committee members to discuss projects and other things.
